Online Food and Beverage Sales: Configuring your App and Pickup Setting

Before you start using concessions in the app, there are a few things you will need to configure.

  • Configure your Pickup Options, Pick up hours, and Pickup Questions. (Sections 1-5)
  • Configure your Menu for the RTS App. (Sections 6-9)

If you do not have any Pickup Methods or Availability groups configured, customers will not be able to purchase concessions. Optionally, you can configure location restrictions for order and picking up and other general settings.


Enabling Concessions in App

There are two different ways for customers to purchase concessions in the app. These two options are a button above the schedule, and a prompt after selecting tickets. You can have either one or both of these options enabled, but at least one of these must be enabled to sell concessions in the app.

Enabling Button Above Schedule

For the Concession button to appear above the schedule please follow the steps below:

  1. Navigate to Setup -> Mobile App -> App Configuration.
  2. In the Food and Beverage tab of the Main Settings tab, check the Enable Concession Sales Without Tickets option

  1. Navigate to Setup -> Mobile App -> App Configuration.
  2. In the Ticketing tab of the Main Settings tab, check the Prompt for Concessions after Ticket Purchase option

Adding Pickup Availabilty

The software allows you to have multiple different Availability Groups defined in case you have Pickup Options with different hours, or have different hours during the Summer and Winter. You will need to set up at least one availability group so that the app knows when you are open. You will also need to have that availability group assigned to your pickup methods. To do this:

  1. Navigate to Setup -> Mobile App -> App Config and enter the Availability Editor tab.

  2. Press Add next to the Group Name dropdown
  3. Enter in a name for the Availability Group. This is the name it is referred to in Software
  4. In the lower half of the window, Check the Enabled box for any days in which this group will be available
  5. Set the Open and Close dates for each day
  6. If adding multiple similar Availability Groups, use the clone button to copy

Note: For When concessions are purchased without tickets, the customers will select a pickup time within your configured availability. When concessions are purchased with tickets, the pickup time will be the same as the time of the performance. If there are no pickup methods that have are available at the time of the performance, customers will not be able to purchase concessions.

Setting up Pickup Options

RTS supports multiple pickup methods so you can give your customers choices in how they want to pick up their items. You may for example want to have a curbside and a counter option. If you do not have a pickup method setup, customers will not be able to order concessions. To set them up:

  1. Navigate to Setup -> Mobile App -> App Config and enter the Configure Pickup Methods tab inside the Order Pickup tab.

  2. For each Pickup method, press Add in the lower-left corner of the screen and enter a name for the pickup method
  3. Optionally add a Description to add more context to the Display Name, or a Customer Instructions Response to provide instructions once the customer checks in.
  4. Select the Availability Group with the appropriate hours from the Scheduled Group dropdown. Note: The NONE option disables the pickup method. If there are no pickup methods with a Schedule group selected, customers will not be able to order concessions.
  5. If this Pickup Method should be available when tickets are included in the transaction (for instance when they are prompted to purchase concessions after purchasing tickets), check the Available with Ticket Present option.
  6. If you wish, change the order that the Pickup Methods will appear in the app using the Move Up and Move Down buttons on the lower-left hand side. The order the Pickup Methods appear in the list is the order they will appear in the app.

Adding Questions to Pickup Methods

For some Pickup Methods, you may want to ask for information from the customer. To accommodate this, RTS allows you to create questions and tie them to pickup methods. To do this:

  1. Navigate to Setup -> Mobile App -> App Config and enter the Configure Questionaire tab inside the Order Pickup tab.

  2. Add a question by pressing the Add button on the left side of the screen under the Questions List and enter a name for the question
  3. Enter the question text you want displayed to the customer in the Customer Question box.
  4. Optionally enter a description for the question in the Question Description Box. This may be used to provide context, example answers, or a reason as to why you're asking the question.
  5. Enter a short name for the question in the Kitchen Description. This will be displayed in the order window
  6. Set the Response Type. This will be used to make sure the customer's answer is in the proper format
    1. Integer: The customer's answer must be a number without a decimal.
    2. Decimal: The customer's answer can be a number with a decimal.
    3. String: The customer's answer can include any combination of numbers, letters, and punctuation.
    4. Phone Number: The customer's answer must match the formatting of a phone number
    5. Email Address: The customer's answer must match the formatting of an email address
  7. If the response is required, check the Response Required checkbox
  8. If you would like this question to be asked when the purchase is made instead of when they Check-In at the theatre, check the Ask Before Purchase Complete box.
  9. Assign the question to a Pickup Method using the Pickup Method Dropdown box



Configuring the App Menu

  1. Navigate to: Setup -> Mobile App -> Menu Setup

  2. Create a new Item Group by clicking Add on the left under the Item Group List and entering the name for the group.
    (Item Groups will be the tabs your items are displayed under in the app)
  3. Add items to your group by selecting the group in the list on the left, then Pressing the Assign Items button
  4. In the window that appears, check the box next to any items you wish to add to the group. The items will be listed under their Subtotal. Clicking the box next to a subtotal will select all items in that subtotal.

  5. Press Save to add the items to the group.
  6. You can change the name of or add a description to a group or item by selecting it in the list and editing the information on the right-hand side of the window
  7. After you are done press Save to finish

Setting up Modifiers

You can also set up modifiers in the app, just like you can for your selling stations. This is especially useful as you may need to have options in the app for questions you would usually ask the customer at the register like "What flavor of drink", or "Do you want Butter with your Popcorn". For more information on setting up modifiers, see our page here. The App uses the RTS App station for its Modifiers.


Note: You can only have 2 levels of modifiers. So your Menu Item's sub items can have sub items, but no deeper than that.

Adding Images

In the app, concessions will display with images. These are the same images as what you set for the selling screen. For instructions on adding custom images, see our wiki page here.

Note: The images must be on the RTS server for them to be displayed in the app.

Setting up Station Items

The RTS app also has a station in the Station Items Window, so you can configure how to stock items sold from the RTS App. The App uses the RTS App station for its Station Items. See our wiki page here for more information on setting up station items.
