Online Gift Card Setup Form

Redeeming a Virtual Gift Card

The balance for a gift card is stored in RTS and linked to the card number. This means all you need to redeem the balance from a gift card (both physical and virtual) is the card number. When your customers receive a virtual gift card, they will get both the 16 digit card number as well as a QR code with the number encoded in it. You can either manually enter the 16 digits, or scan the QR code with a 2D bar code scanner.


Accounting

When a customer purchase is finished, the amount is immediately charged to the customer credit card and a transaction is completed with a balancing item "Unfulfilled Web Gift Sale". The customer receives a receipt email.

Virtual Cards

Within a few minutes of purchase, the system will assign a card number and fund the card number with the required amount. This transaction decreases the "Unfulfilled Web Gift Sale" item and increases the "Debit Sold" item.

Physical Cards

When a physical card is prepared for mailing, the system creates a transaction. This transaction decreases the "Fulfilled Web Gift Sale" item and increases the "Debit Sold" item.


Reports

You can view a log of Online Gift orders by going to Reports -> Mag Cards -> Online Gift Purchases.

Once you have Online Gift Cards setup, a link is generated for online access. This is the link your customers will use to purchase cards, check card balances, and register loyalty cards. Your links will be:

Creating Physical Gift Cards for Mailing

When a physical gift card is purchased, you must assign a card(s) to the order, add the amount to it, and mail it out. RTS has a window to assist you with doing this.

  1. From the RTS Menu, navigate to Actions -> Gift Sales -> Fill Orders.

  2. Enter the Start Date, End Datem or any other filter, and press Search
  3. Select an open order to fill.
  4. Select "Assign Card" and enter or swipe the card numbers for this order.
  5. Select "Fund Card" and repeat for each card in the order.
  6. Once all cards in the order have been assigned and funded, select "Finish Order".
  7. A letter for will print for mailing.

Reprinting a Mailer Slip

If you forgot to print a mailer when you were loading money onto a physical you can reprint it. To do this:

  2. Load the appropriate Start Date and End Date and press Search find the transaction
  3. Check the box(es) to the left of the transaction
  4. Click the Print Mailer button at the bottom.
  5. Print the mailer the same as you would a report

Resending Virtual Gift Cards

If a customer is having trouble finding their virtual gift card email, you can resend it to the same or different email address.

To a New Email

You can resend Virtual Gift Cards by

  1. Going to Reports -> Mag Cards -> Online Gift Purchases
  2. Select the Start Date and End Date that the transaction might have occurred on (if you know the exact date, you can set the First and Last date to be the same)
  3. Press Search to load the transactions
  4. Right click the order you wish to resend in the list at the bottom of the window
  5. Click Send to New Email
  6. Enter in the new email address

To the Same Email

You can do this by

  1. Going to Reports -> Mag Cards -> Online Gift Purchases
  2. Load the appropriate date(s) and find the transaction you need to resend
  3. Check the box(es) to the left of the transaction
  4. Click the Resend Virtual Gift Card button at the bottom.
