Private Showings

This section details the steps required to add a Private Showing into RTS where customers can rent out an entire auditorium.

Setting this up will require completing each of the following steps in order:

  1. Add the Film
  2. Adding Tickets
  3. Editing Class Rules
  4. Add Schedule Location
  5. Schedule Films

The below step is optional:

  • Translate Titles

In-depth steps for each of these steps can be found below:

Adding The Films

(You must already have the film created that you are showing in order to translate private screening.)


  1. Navigate to: Setup -> Films.
  2. Select Add
  3. Name the film Private Showing and set the length to the longest time of shows that will be offered
  4. Select Save

Adding the tickets

(The tickets for these private showings will be the options customers are allowed to choose.) (It is recommended to either make the ticket options the names of the films you will be offering)

  1. Navigate to: Setup -> Tickets -> Price.
  2. Add a new Price Category by clicking Add
  3. (Recommended to name it "Private" or "Private Showing")

  4. Select the Add button.
  5. Enter the name of a film you are offering.
  6. Enter the price and enable API if needed

  8. Repeat steps 3-5 for each ticketing option you wish to add.

Editing Class Rules

(Class rules determine when tickets are available.)

  1. Navigate to: Setup -> Tickets -> Class Rule.
  2. Select Normal for the Rule Name
  3. Select the newly created Price Category for the Price Category drop-down
  4. For each ticket type enter 1=1 for the Rule

    (1=1, means the ticket is available all the time)
    (For more complex ticketing such as Some tickets only available on certain days or before a certain time please click here for more information)
  6. After all class rules have been entered select Save

Adding Schedule Location

  1. Navigate to: Setup -> Auditoriums.

  3. Click Add in the bottom left
  4. Name the location
  5. (Recommended: "AUDITORIUM_NUMBER Private Showing" replace AUDITORIUM_NUMBER with the number of the auditorium.)
  6. Click Add under Gen Auditoriums
  7. Name the General Auditorium
  8. (Recommended: "Auditorium AUDITORIUM_NUMBER" replace AUDITORIUM_NUMBER with the number of the auditorium.)
  9. Enter 1 for Total Seats
  10. Select the Physical Auditoriums tab
  11. Click Add
  12. Select which auditorium this location will be using and click Ok

  1. Navigate to: Actions -> Schedules -> Showtimes New Scheduler.
  2. Select Private Showing (or what you ended up naming the film) from the list on the left

  4. Hover your mouse to the desired time and auditorium and click.
  5. Select the Auditorium
  6. (If you have only one auditorium type you will not see this prompt.)
  7. To open the film for sales, right-click, and select Open for Sales. To open shows for the entire day, select Open Days at the top of the window.

Title Translator

(This option is only available AFTER the deposit has been closed)
(This will only rename the movie for reporting purposes, names of tickets sold will remain the same)

  1. Navigate to: Actions - Database Utilities -> Translate Titles.
  2. Title Translator PS.png

  3. Select Private Showing (or what you ended up naming the film)
  4. Select a time or times that need to be changed.
  5. (If you have multiple times that need different names this section will need to be repeated again for each film name.)
  6. Select the film you wish to change them to from the New Title drop-down
  7. (If the film does not appear here it means it has not been added through Setup -> Films.)
  8. Click Update
  9. Repeat steps 3-5 for each time or group of times that need to be changed.
